2. Contract Setup Timeline

OBJECTIVE To align the contract setup timeline expectation between LRs and CREs


Important things to remember 


  • Confirmation” means client signed/accepted Ts&Cs
  • OPS Work Shift: Mon-Friday from 7am to 4pm PHT (6am-3pm PHT during DST)
  • There should be an accepted Ts&Cs before the Lead Recruiter (LR) sends a Contract Agreement and Offer Letter to the chosen candidate
  • Contract and Offer letter should be released by the Lead Recruiter to the hired candidate within the same day if the client accepts the Ts&Cs by 1pm and posted by the Lead Recruiter on the JO Update group by 2pm
  • Contract Details to be posted by Lead Recruiter on JO Update Skype Group:


  1. Confirmation made on/before 1pm on Monday, start date will be scheduled for Thursday of the same week, After 1pm start date will be scheduled for Friday of the same week
  2. Confirmation made on/before 1pm on Tuesday, start date will be scheduled for Friday of the same week. After 1pm start date will be scheduled for Monday of the following week
  3. Confirmation made on/before 1pm onon/before 1pm on Wednesday, start date will be scheduled for Monday of the following week. After 1pm start date will be scheduled for Tuesday of the following week
  4. Confirmation made on/before 1pm on Thursday, start date will be scheduled for Tuesday of the following week. After 1pm start date will be scheduled for Wednesday of the following week
  5. Confirmation made on/before 1pm on Friday, start date will be scheduled for Wednesday of the following week. After 1pm start date will be scheduled for Thursday of the following week

  • PHO schedule: 9am and 1pm / Mon-Fri.
    • This provides sufficient time for the hired candidate to review their contract
    • Provides sufficient time for the handover from Lead Recruiter to Client Relations Executive
    • Turnover any special arrangement that the CRE needs to be aware of that was discussed between the client and LR during the hiring process. (Ticket to be created by LR)
    • Intro to client by the CRE and Onboarding (for New Clients)
    • Verification of start date advised by LR with the client and any last minute instruction from the client in preparation for the start date to be done by the CRE
    • Discussion or review of “Managing Expectations” with the client and the hired candidate hired candidate conducted by the CRE during Onboarding session
  • Confirmation email / Signed Remote Contractor Service Agreement from the hired candidate needs to be received by the Contracts Officer prior to system contract creation
  • In the instance that the selected candidate is still unable to send an acknowledgement email/signed Remote Contractor Service Agreement 2days before the agreed start date, Contracts Officer will call the hired candidate and provide an update to the assigned Lead Recruiter and CRE
  • Lead Recruiter will then send an update to the client the day before the scheduled start up, so to set client’s expectations
  • Transition from LR to CRE will happen after the client signs the Ts&Cs. Onboarding Discussion between CRE and client, and CRE and hired candidate will follow.
