IDLE SCREEN SHOT MONITORING

OBJECTIVE  To aid clients in identifying gaps between their remote contractor's daily tasks versus their capacity and skills.

Daily Screenshot Monitoring

Daily Report

- Snapshot reports from the previous working day

  • Go to Teramind Dashboard

  • On the left panel, click Monitoring then Screen Snapshot

  • Filter date to yesterday’s date

  • On the Choose Employee dropdown filter by Staff name

  • Check the staff’s snapshots and look for the following issues:

  • Idle

  • Unrelated website/activitiesUnrelated website/activities

  • Screenshot errors (Black or colored screenshots)

  • If issues were found, count the total accumulated time duration of the instances that the staff was having the said issue - it should be a minimum of 20 minutes or 2 consecutive thumbnail, activity and 0%

  • List down all the staff who has issues found in their screenshot on your Screenshot Report tracker

  • Send the report of the list of staff who have an issue to the CREs thru Freshdesk ticket.

Weekly Report

- Screenshot reports from the previous week

  • To be included in the weekly report, staff has to be included in the daily report for a minimum of 3 instances for that week

  • Send the report of the list of staff who have an issue to the CREs thru Freshdesk ticket.

Monthly Report

- Screenshot reports for the previous month

  • List down all the staff that were included on the weekly screenshot report

  • Send the report of the list of staff who have an issue to the CREs thru Freshdesk ticket.

Idle Time Monitoring and Reporting 


Idle Time Report

  • Idle time reports are scheduled on teramind and will be sent automatically to respective recipients (Team Lead CRE, CRE, CDA).

  • Go to Teramind

  • On the left panel, click BI Reports then Productivity


  • Click “Clone” on the upper right corner of the board


  • On the upper left corner of the board, delete Basic,Task, and Time worked tab



  • Then remove all 6 charts by simply clicking the “X” on each.




  • The remaining board should be “Plain Grid”, click copy to clone the board to the number of CREs you have.



  • Rename each board to CRE Name in “Edit Widget Name”























  • Click Edit Widget Filter, on the Department filter, search and add all clients under that CRE








  • Apply to all CRE dashboard

  • Then on the upper right, click Save.


  • To schedule export, on the upper right, click Export then schedule export;


  • click Enable Auto-Export

  • on Export Period, choose DAY

  • on Export Days, choose Tue to Sat only

  • on Export Time, set time to 7AM

  • on Keep Dashboard layout, choose NO

  • On Export to Emails, input all CRE emails under your bucket and Team Lead CRE, and CDA Email.

  • Click Save
































  • Recipients will receive the report in excel and pdf file.

  • Idle time reports will be from the previous working day.

  • Due to daily timesheet adjustment that reflects real time on teramind, the report will be sent every 7am so as to not affect the real time idle work hours of staff.

  • CDAs to collate daily reports to a spreadsheet for weekly and monthly reporting.



Weekly and Monthly Report will be done manually



Weekly Screenshot Report

  • Screenshot report for the previous week.

  • Staff will be included on the weekly report if he/she incurred 3 instances of being reported idle daily. (will be rephrased to, RCs who have been reported three times on the daily report will be listed in the weekly report)

  • Weekly report will be sent to the respective CRE thru freshdesk ticket.

  • Report will be sent every Monday

        


Monthly Screenshot Report

  • Screenshot report for the previous month.

  • Staff will be included on the monthly report if he/she incurred 3 instances of being reported idle on the weekly report.

  • Monthly report will be sent to the respective CRE thru freshdesk ticket.

  • Report will be sent every first business day of the following month.
