SENDING GIFTS TO RCs

OBJECTIVE To assist clients who want to send gifts to their staff in the Philippines.


Important things to remember


  • We try to accommodate requests from clients who would want to send gifts to their remote contractors if we see that it's feasible for us to have it arranged in their behalf.
  • Shipping cost/freight will always be charged to the client and this should be communicated to them before we create a ticket for the said request.
  • It's always best to encourage clients to send the gift directly. If they find it inconvenient, that's when we come in and offer assistance.
  • RS will always invoice clients for this type of request + GST.
  • We're not partnered with any suppliers as of writing.
  • Before making any recommendations, check if a supplier accepts credit card, Gcash/PayMaya or bank transfers as mode of payment.



Scenario 1 - Client will send the gift directly to their remote contractor's address.

  1. CRE to confirm the shipping address and mobile number of the RC. Information gathered to be relayed to the client
  2. Client needs to be aware that shipping items to their RC would need to be sent directly to their residential address. Shipping it to our Makati office would require additional shipping and custom fees that may be burdensome for them.
  3. CRE can inform the client regarding shipping options found here.



Scenario 2 - Client to send money/cash as a gift to their remote contractor.

  1. CRE to confirm the amount with the client. Once confirmed, CRE to create a ticket via Fresh Desk following this SOP.
  2. Set the expectation that the amount will be released to the RC following the nearest pay run schedule from when the invoice is paid.
  3. As soon as invoice is settled, CRE to relay this disbursement to the RC including the amount, releasing schedule and the purpose of the fund transfer.



Scenario 3 - RS to help arrange the sending of the gift to their remote contractor

  1. CRE to confirm with the client regarding the gift to be sent and target date when it should be delivered.
  2. CRE to create a ticket via Fresh Desk for the said request following the format below.
  • Contact: add your RS email address
  • Subject: Client Request | Gift Purchase and Delivery to [Remote Contract Full Name]
  • CRE: (Your name)
  • Client name: (same name showing on the portal)
  • Type: Request
  • Department: Clients
  • Inhouse Ticket Type: Finance 
  • Concern: Remote Contractor Gift/Equipment Purchase
  • Status: In progress
  • Group: Service Group
  • Agent: (Choose the assigned Account Officer for this client)
  • Internal Group: Service Group
  • Internal Agent: (Payroll Officer - Monica)
  • Priority: Medium
  • Contractor Name: Type the RC's name
  • Tags: Gift
  • Add a 'NOTE' and a brief narrative/description of the request.
  • You can add additional notes, screenshots, attachments that is relevant to the case.

2. Can RCs also send gifts for their clients?


This is a kind gesture which will help strengthen the working relationship of both parties. It's not an ideal scenario but if you encounter this request, kindly approach your Sr. CRE if the client is based in AU. We can check with Rica if she can help to make this happen.



3. Is it safe for us to share details of our RCs (eg. shipping address and mobile number) to clients?


The instance that the candidate/RC signed up on our website, they have agreed for us to store, transfer and process these information. This is also shown on RC's service agreement under clause 5.5. However, as a courtesy we still need to seek for RC's permission if we can share the info to their client.






4. Can we use RS' corporate SODEXO account?


Still waiting for HROD's advise



5. If RC passes away, can RS send flowers?


As of Q2 of 2024, RS approved a maximum budget of PHP 5,000 for flowers  to be sent to demised RCs or immediate family members (biological parents/kids, wife/husband, legal partner).
