OBJECTIVE To fully understand the significance of replacement orders in ensuring that we're able to deliver a great experience to clients after a contract cancellation.
DEFINITION
A Replacement request is a term being used for backfilling roles/contracts that were just terminated.
CREs are required to have at least a 50% replacement rate per month. Confirmed Replacement would have an equivalent JO number that's generated in Bullhorn.
What is the action required from a CRE once a replacement request is received from a client?
I. CRE to acknowledge the request and remind the client of our revised Ts&Cs. A canned response is available on Fresh desk saved under the 'CRE' folder. Kindly copy the assigned LR on the said email.
For Legacy Clients, post a message on the 'CRE + RBD + Managers' Skype GC requesting for a new LR to be assigned for the client. Please make sure to tag both Kathleen and Loves on your message.
II. Create a new email via Fresh desk following the format below. The email should be sent to the assigned LR. You may use the available canned response on Fresh desk named 'Backorder / Replacement Request' that you will find in the 'CRE' folder. The following needs to be copied in on the said email - leadrecruiter@remotestaff.com, Chan (Client Placement Manager) <chan.conoza@remotestaff.com> and your Sr. CRE. Ticket priority should be set to 'High' and don't forget to use the proper tag - Back Order. Then, hit on SAVE.

1. I sent the replacement request via email today, when should I follow this up with the assigned LR?
If there is still no JO created on Bullhorn after 1 business day, please follow this up with the assigned LR. If the replacement request was received nearing towards the end of the month, make sure to ask the LR kindly to action on the request immediately so we can count it for the current month. It can only be counted as a confirmed replacement once a corresponding JO is created on BH.
2. My client sent a replacement request but revised the role. Do I count it as a BO?
Yes, we will count that as a BO. Replacement requests will always follow/use the same JO.
3. I have an invalid start-up and the client is happy to source for a replacement right away. Is this counted as a valid replacement?
Yes, that is still a replacement. The replacement request will be tagged the same as the original job order. Please properly indicate this in your narrative to the replacement request.
